AceDrafts ("we," "us," or "our") provides a web-based tool for independent software consultants to generate Statements of Work (SOWs) from transcribed client discovery calls. This Privacy Policy explains how we collect, use, and protect your information when you use our service at acedrafts.com (the "Service").

We are a sole proprietorship based in the United States and serve US customers only. We believe in being transparent about our data practices, so we have written this policy in plain English.

Information We Collect

We collect only the minimum information necessary to operate the Service:

  • Email address: We collect your email address when you create an account. This is used for account authentication, service communications, and billing notifications.
  • Audio files (temporary): You may upload recordings of your client discovery calls for transcription. These audio files are processed and then permanently deleted. We do not store them.
  • Transcripts (temporary): Transcriptions of your audio files are stored temporarily to generate your SOW documents. Once the SOW is generated, transcripts are discarded.
  • Stripe customer ID: When you subscribe to a paid plan, we store a Stripe customer ID to manage your billing. AceDrafts never sees or stores your credit card information.

How We Use Your Information

We use the information we collect for the following purposes:

  • To create and manage your account
  • To transcribe your discovery call recordings and generate SOW documents
  • To send you service-related communications (e.g., account notifications, billing updates)
  • To provide customer support
  • To prevent fraud and abuse of the Service
  • To comply with legal obligations

We do not sell your personal information to third parties. We do not use your data for advertising or ad tracking.

Third-Party Services

AceDrafts relies on trusted third-party service providers to operate the Service. These providers have access to your information only to perform specific tasks on our behalf and are obligated to protect your data:

  • Cloudflare: Hosts our website and application infrastructure.
  • Supabase: Provides database storage and user authentication services.
  • Anthropic and/or OpenAI: Processes your audio transcripts using AI to generate SOW documents. Your transcripts are sent to these APIs for processing and are not retained by the AI providers for training purposes.
  • Stripe: Handles all payment processing. Stripe collects and stores your payment information directly. AceDrafts receives only a customer ID and billing status.

Data Retention

We retain your information only as long as necessary:

  • Email address: Retained for as long as you maintain an account with us. You may delete your account at any time, which will remove your email from our systems.
  • Audio files: Deleted immediately after transcription is complete. We do not store audio recordings.
  • Transcripts: Deleted after SOW generation is complete. We do not retain transcripts long-term.
  • Stripe customer ID: Retained for billing and tax record-keeping purposes as required by law.

User Responsibilities: Third-Party Consent

Important: When you upload discovery call recordings to AceDrafts, those recordings may contain voices and personal information from your clients (third parties). You are responsible for:

  • Obtaining appropriate consent from your clients before recording and uploading their conversations
  • Complying with all applicable laws regarding call recording and data privacy
  • Ensuring you have the legal right to process and transmit the audio content you upload

AceDrafts does not verify whether you have obtained proper consent. By using the Service, you represent that you have the necessary permissions to upload and process any audio content you submit.

Your Rights

You have the following rights regarding your personal information:

  • Access: You may request a copy of the personal information we hold about you.
  • Correction: You may request that we correct inaccurate information.
  • Deletion: You may request that we delete your account and associated data. Note that we may retain certain information as required by law (e.g., billing records).
  • Opt-out: You may opt out of non-essential communications at any time.

Cookies

We use cookies and similar tracking technologies to operate the Service. These include:
